54th AARC International Respiratory CongressExhibitor ProspectusPrices and Payment PoliciesAll applications are considered for assignment according to the priority point system and the date and time they were received. One priority point has been accumulated for each 10’x10’ booth space rented over the last five years. The applicant with the highest number of priority points is assigned first, the applicant with the second highest is assigned second, etc. If an exhibiting company merges with, buys, or is bought by another company, half of the points accumulated by the purchased company will be credited to the purchasing company’s points. Booth requests for two or more booths must be in-line; peninsulas are not allowed. Interior Booth—$3,100An in-line booth is one or more standard 10' x 10' units arranged in a straight line Corner Booth—$3,500A corner booth is an in-line booth exposed to aisles on two sides. All other guidelines for in-line booths apply. All corner booths must be masked, at exhibitor’s expense, to avoid unsightly appearance. Priority Booth—$3,850Highest traffic areas The above booths (interior, corner and priority) are a 10’x10’ structure, limited to 8 feet in height and cannot extend further than 3 feet from the back wall. Booths come with a back drape, a 7" x 44" identification sign with the company name, city, state and booth number. The exhibiting company name to be displayed is the name listed on the original application for space. Islands An island booth must be accessible from all four sides; no drape or back
wall permitted. All parts of the booth structure and display materials are
permitted to a maximum height of 20 feet including signs,
company name, logo, product information, lighting trusses or any other types
of lighting fixtures.
Deposit & PaymentsDeposit and payment must be in the form of a credit card or a check in US funds and drawn on a US bank, payable to the American Association for Respiratory Care. A deposit of 50% of the highest priced requested booth must accompany the application. Upon receipt of the application and deposit, AARC will immediately send an invoice for the remaining 50% and place the application in line for specific booth assignment. If a price adjustment is necessary once your assigned space has been confirmed by the Exhibits Coordinator, a final invoice will be sent or a credit issued. Payment is due net 30. The following credit cards will be accepted for payment: American Express, Master Card or Visa. Wire transfers will be accepted; however, if bank charges are incurred, you will be invoiced for this amount. The AARC recommends sending the application and payment via a traceable method. Faxing an ApplicationFaxed applications will only be accepted if the payment is made by a credit card. Applications received by fax will be date and time stamped by the receiving fax machine and payments will be processed immediately. The Convention Department fax number is (972) 484-2720. Mailing an ApplicationTo avoid processing delays, please send a complete application with 50% deposit to the address listed below. Annette Phillips, AARC Exhibits Coordinator (972) 243-2272 main Cancellation Policy for Booth/IslandsCancellations are effective only when received in writing by the AARC in Irving, Texas. Exhibitor is hereby given the right to cancel this agreement without penalty prior to 5:00 pm Central Time on Aug. 15, 2008. Such cancellation shall only be effective when written notice hereof is received by AARC, Irving, Texas. In the event of such cancellation, all rights, duties, liabilities, and obligations hereunder shall terminate. In the event that Exhibitor cancels this agreement after 5:00 pm Central Time on August 15, 2008, and prior to 5:00 pm Central Time on September 15, 2008, all rights, duties, liabilities, and obligations hereunder shall terminate except that Exhibitor will be liable for and agrees to pay AARC forty percent (40%) of the exhibit rental fee reserved hereunder.* Such cancellation shall only be effective when written notice is received by AARC, Irving, Texas. In the event that Exhibitor cancels this agreement after 5:00 pm Central Time on September 15, 2008, and prior to 5:00 pm Central Time on October 15, 2008, all rights, duties, liabilities, and obligations hereunder shall terminate except that Exhibitor will be liable for and agrees to pay AARC sixty percent (60%) of the exhibit rental fee reserved hereunder.* Such cancellation shall only be effective when written notice is received by AARC, Irving, Texas. In the event that Exhibitor cancels this agreement after 5:00 pm Central Time on October 15, 2008, all rights, duties, liabilities, and obligations hereunder shall terminate except that Exhibitor will be liable for and agrees to pay AARC one hundred percent (100%) of the exhibit rental fee reserved hereunder.* Such cancellation shall only be effective when written notice is received by AARC, Irving, Texas. AARC reserves the right to relocate any space to be occupied hereunder by Exhibitor. Upon receiving from AARC notice of such relocation, Exhibitor, notwithstanding any other provision hereof, may cancel this agreement without penalty and shall be entitled to the return of any previously paid exhibit rental fee. Exhibitor agrees to indemnify AARC against and hold it free from any and all claims arising from loss or damage to Exhibitor’s property whatsoever cause occasioned, and whosesoever such property is located during the period in which AARC occupies the Anaheim Convention Center, except for such injury or loss as may be proximately caused by willful and malicious misconduct on the part of any full-time regular payroll employee of AARC. *Failure to maintain a current credit history can result in suspension of all services from the AARC and its subsidiaries. AARC reserves the right to relocate any space to be occupied hereunder by Exhibitor. Upon receiving from AARC notice of such relocation, Exhibitor, notwithstanding any other provision hereof, may cancel this agreement without penalty and shall be entitled to the return of any previously paid exhibit rental fee. Show Cancellation PolicyThe parties agree that if the 2008 American Association for Respiratory Care (AARC) International Respiratory Congress is cancelled in whole or in part, or its scheduled opening is cancelled or delayed, due to fire, explosion, strike, freight embargo, act of God, act of public enemy, act of war, act of terrorism, civil disturbance, act of any government, de jute or de facto, or governmental declaration or regulation, epidemic or other event over which the AARC has no control, then the exhibitor contract may be immediately amended by the AARC and exhibitor hereby waives any and all claims against the AARC for damages, reimbursement, refunds or compensation. |
